Privacy Policy

1. The short version

MD Cosmetic Solutions Inc. (“MDCSI,” “we,” “us”) is an independent sales representative group serving licensed medical aesthetics practices. This Policy explains what we collect when you visit mdcsi.co (the “Site”), use the chat window on the Site, or send us a form.

• We use two tools from Zoho on this Site: Zoho SalesIQ (visitor tracking and live chat) and Zoho PageSense (website analytics).
• We use the contact details you give us mainly to answer you and to send you marketing emails about the products we represent.
• We do not sell your personal information and we do not share it for advertising.
• You can unsubscribe from our emails, decline non-essential cookies, or ask us to show, correct or delete your information at any time by emailing info@mdcsi.co.

2. What we collect and how

2.1 Zoho SalesIQ (visitor tracking and chat)

SalesIQ runs on every page of the Site. It uses cookies and similar technologies to recognize your browser and collects:

• IP address and the approximate location it indicates (city, region, country)
• Browser, operating system and device type
• The pages you view, how long you stay, and the links you click
• The website or search that brought you to the Site
• Whether you have visited before, and the date and time of each visit
• Anything you type into the chat window, including your name, email address and phone number if you provide them

If you give us your email address in chat or on a form, SalesIQ can connect your past and future visits to the Site with your contact record.

2.2 Zoho PageSense (analytics)

PageSense uses cookies to measure how the Site is used so we can improve it. It collects page views, clicks, scrolling and navigation patterns (for example, heatmaps), device and browser details, and referring website. We use this information in aggregate; we do not use PageSense to collect what you type into forms.

2.3 Information you give us

When you request a demo, fill out a form, chat with us, or email us, you may provide your name and job title, practice name, business email address, business phone number, business address, and any message you choose to send.

We sell only to businesses. Please do not send us patient or health information; we do not request it and do not knowingly collect it.

3. The chat window

A chat window provided by Zoho SalesIQ may appear while you browse the Site. It may open on its own with a greeting based on the page you are viewing or how long you have been on the Site. You are never required to use it, and you can close it at any time.

If you use the chat:

• A member of our team (or an automated assistant, when no one is available) can see your message together with the pages you have viewed during your visit.
• We may ask for your name and email address so we can follow up.
• The conversation is recorded as a transcript and stored in our Zoho account. It may be attached to your contact record in our customer database (Zoho CRM).
• If you give us your email address in chat, we may add you to our marketing email list. You can unsubscribe at any time.

4. How we use your information

• Marketing emails. We use your name, practice and business email address to send you emails about the products we represent, promotions, training and events. This is the main reason we collect contact information.
• To answer your questions and schedule demos and consultations
• To set up and service accounts for practices that buy through us
• To understand which pages and products visitors are interested in, so our outreach is relevant
• To maintain, secure and improve the Site
• To comply with the law

Every marketing email includes an unsubscribe link. You can also opt out by emailing info@mdcsi.co. We will only send marketing text messages if you have expressly opted in; reply STOP to any message to opt out.

5. Cookies and your choices

• Strictly necessary cookies keep the Site and the chat window working.
• Functional cookies (Zoho SalesIQ) remember your chat and recognize you on return visits.
• Analytics cookies (Zoho PageSense and Zoho SalesIQ) measure how the Site is used.

A cookie banner appears on your first visit. You can accept or decline non-essential cookies there, and change your choice later through the banner’s Preferences option or your browser settings. Blocking strictly necessary cookies may stop parts of the Site from working.

We do not use advertising or retargeting cookies, and we do not allow advertising networks or social media platforms to collect information on the Site.

6. Who we share it with

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not give your contact information to the manufacturers we represent for their own marketing.

• Zoho Corporation is our service provider for website hosting (Zoho Sites), visitor tracking and chat (Zoho SalesIQ), analytics (Zoho PageSense), and our customer database and email marketing (Zoho CRM and related Zoho products). Zoho processes this information on our behalf under its contract with us.
• We may disclose information when the law requires it, or to protect our rights or the safety of others.
• If MDCSI is sold or merged, information may transfer to the new owner, and we will post notice here first.

7. How long we keep it

• Chat transcripts (Zoho SalesIQ): up to 12 months
• Website analytics data (Zoho PageSense): up to 14 months
• Leads and prospects: up to 3 years after our last contact with you
• Customer and order records: for the length of the relationship plus 7 years
• Unsubscribe and opt-out records: kept so we can continue to honor your request

8. California privacy rights

This section is our notice under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), and the California Online Privacy Protection Act.

8.1 What we have collected in the past 12 months

• Identifiers: name, business email, phone number, business address, IP address, cookie and device identifiers. Sources: you, and automatically through SalesIQ and PageSense.
• Professional information: job title and practice. Source: you.
• Commercial information: products you asked about or purchased through us. Source: you and our records.
• Internet activity: pages viewed, clicks, referring site, chat transcripts. Source: automatically through SalesIQ and PageSense.
• Approximate location: city or region inferred from IP address. Source: automatically through SalesIQ.

We collect each category for the purposes in Section 4 and keep it for the periods in Section 7. We disclose each category only to our service provider, Zoho. We have not sold personal information or shared it for cross-context behavioral advertising in the past 12 months, including the personal information of anyone under 16. We do not collect sensitive personal information as defined by the CPRA.

8.2 Your rights

If you are a California resident you may:

• Know what personal information we have collected about you, where we got it, why, and who we disclosed it to, and receive a copy
• Delete personal information we collected from you, subject to legal exceptions
• Correct inaccurate personal information
• Opt out of sale or sharing. We do not sell or share personal information, so there is nothing to opt out of.
• Not be discriminated against for exercising any of these rights

8.3 How to make a request

Email info@mdcsi.co or call (209) 645-6400. Tell us which right you want to exercise and give us enough information to find your record (usually your name and the email address you used with us). We will confirm your identity by matching what you send against our records, acknowledge your request within 10 business days, and respond within 45 days. An authorized agent may make a request for you with your written permission.

8.4 Do Not Track and Global Privacy Control

The Site does not respond to browser “Do Not Track” signals. Because we do not sell or share personal information, an opt-out preference signal such as Global Privacy Control does not change how we handle your information. Other than Zoho, acting as our service provider, no third parties collect information about your activity on the Site over time or across other websites.

8.5 Shine the Light

We do not disclose personal information to third parties for their own direct marketing purposes.

9. Security

We use reasonable administrative and technical safeguards to protect personal information. Our platforms are operated by Zoho Corporation under its own security program. No website or storage system is completely secure, and we cannot guarantee absolute security.

10. Children

The Site is for businesses. We do not knowingly collect personal information from anyone under 16. If you believe we have, email info@mdcsi.co and we will delete it.

11. Links to other sites

The Site links to manufacturers we represent and other third-party websites. Their privacy practices are their own, and this Policy does not cover them.

12. Changes to this Policy

We review this Policy at least once a year. When we change it, we update the “Last Updated” date at the top of this page, and we will post a notice on the Site for material changes.
